AIME TECH UK LIMITED, a company registered in England & Wales under company number 16819323 ("AIMETECH", "we", "us", "our"), is committed to protecting your personal data. This policy explains what personal data we collect, how we use it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are

2. What personal data we collect
We keep data collection to a minimum. We collect personal data through the following channels:
a) Our website (pre-launch preview)
Our website is currently a private, PIN-gated preview and is not indexed by search engines. When you access the preview:
- We set a single strictly-necessary cookie to remember that you have entered a valid access PIN for the duration of your visit.
- We store your cookie-consent choice locally in your browser (in localStorage). This stays on your device and is not transmitted to us.
- We do not currently run any analytics, advertising, or third-party tracking cookies.
- The login page shown on the preview is a non-functional placeholder: it does not transmit, process, or store any credentials you may type into it.
b) Email enquiries
If you email us at hello@aimetech.co.uk, we receive your email address, your name (if provided), and the contents of your message.
c) Online meeting bookings (Microsoft Bookings)
When you book an "Intro Call" or other meeting with us through Microsoft Bookings, we collect: your name; your email address; your phone number (optional); any additional details you choose to enter in the booking form. Microsoft acts as our processor for the Bookings service (see Section 6).
3. Online meetings: recording and transcription
Please read this section carefully. It explains what you are agreeing to when you allow a meeting to be recorded. We do not treat this policy on its own as your consent: your consent is requested separately at the point of collection, through a clear opt-in on the booking form, and again verbally at the start of the call, so that it is specific, informed, and freely given.
We hold online meetings (such as Intro Calls and discovery calls) using Microsoft Teams. These meetings may be recorded and automatically transcribed.
What may be captured:
- Audio of the meeting
- Video (where participants have their cameras on)
- Any content shared on screen during the meeting
- A written transcript of the conversation
- An AI-generated recap or summary produced using Microsoft 365 Copilot
Lawful basis: We rely on your consent to record and transcribe meetings (UK GDPR Article 6(1)(a)). We obtain that consent at the point of collection, via an affirmative opt-in on the booking form and a verbal confirmation at the start of the meeting, not through this policy alone. You can withdraw it at any time (see Section 9).
Notice and your choices: We will tell you at the start of the meeting if it is being recorded. You may decline to be recorded, ask us to stop recording, keep your camera off, and choose not to share your screen. If you would prefer the meeting not be recorded at all, please tell us before or at the start of the call and we will accommodate that.
Who can access recordings and transcripts: Access is limited to AIMETECH personnel who need it for the purpose of the meeting (for example, following up on your enquiry, preparing a proposal, or internal review). We do not publish recordings or transcripts.
Retention: Meeting recordings, transcripts, and AI summaries are kept for [proposed, confirm: 6 months after the meeting], after which they are deleted, unless we need to keep them longer to meet a legal obligation or to manage an ongoing engagement with you.
Processor: Microsoft processes meeting audio, video, transcripts, and AI summaries as our sub-processor under the Microsoft Online Services Data Protection Addendum (DPA).
4. Lawful bases for processing
Under UK GDPR Article 6, we rely on the following lawful bases:

Where we rely on legitimate interests, we have considered your rights and interests and limited our processing accordingly. You may object to processing based on legitimate interests at any time (see Section 9).
Recognised legitimate interests
The Data (Use and Access) Act 2025 introduced a further lawful basis: recognised legitimate interests (UK GDPR Article 6(1)(ea)). It works like legitimate interests, but applies only to a fixed list of purposes set out in law (for example, responding to a request from a public authority, safeguarding, and preventing or detecting crime) and does not require us to carry out and document a separate legitimate-interests balancing assessment before relying on it. Where a specific purpose falls within that statutory list, we may rely on this basis. For our ordinary business purposes, such as responding to enquiries and arranging meetings, we continue to rely on standard legitimate interests, with the balancing assessment described above.
5. How we use your data
We use the personal data we collect to:
- Respond to your enquiries and correspond with you;
- Arrange, host, and follow up on online meetings;
- Where you have consented, create and refer to meeting recordings, transcripts, and summaries;
- Understand and discuss your potential requirements and prepare proposals;
- Keep appropriate records of our communications with you;
- Comply with our legal and regulatory obligations.
We do not sell your personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.
6. Sharing and sub-processors
We do not share your personal data except with the service providers (processors) that help us operate, and where required by law.
Microsoft
We use Microsoft services to run our business, including:
- Microsoft Bookings (meeting scheduling)
- Microsoft Teams (online meetings, recording, and transcription)
- Microsoft 365 Copilot (AI-generated meeting recaps and summaries)
- Microsoft Azure / Microsoft 365 (underlying cloud hosting and productivity services)
Microsoft processes this data on our behalf as a processor (and sub-processor) under the Microsoft Online Services Data Protection Addendum.
Other processors

We may also disclose personal data if required to do so by law, regulation, or a valid legal request.
7. International transfers
Microsoft and certain other providers may process personal data outside the United Kingdom. Where personal data is transferred outside the UK, it is protected by appropriate safeguards, including the UK International Data Transfer Addendum to the EU Standard Contractual Clauses (or the EU Standard Contractual Clauses where applicable), as incorporated into our providers' data protection terms.
8. How long we keep your data
We keep personal data only for as long as we need it for the purposes set out in this policy. Our default retention periods are:
- Enquiry and booking data (name, email, phone, message/booking details): [proposed, confirm: 24 months after our last contact with you], then deleted or anonymised.
- Meeting recordings, transcripts, and AI summaries: [proposed, confirm: 6 months after the meeting].
- Records we are legally required to keep: for the period required by the relevant law.
When data is no longer needed, we securely delete or anonymise it.
9. Your rights
Under UK GDPR you have the right to:
- Access: request a copy of the personal data we hold about you.
- Rectification: ask us to correct inaccurate or incomplete data.
- Erasure: ask us to delete your personal data in certain circumstances.
- Restriction: ask us to restrict how we process your data.
- Portability: receive your data in a structured, commonly used format.
- Object: object to processing based on legitimate interests.
- Withdraw consent: where we rely on consent (such as meeting recording), you may withdraw it at any time, without affecting the lawfulness of processing already carried out.

10. Cookies
Our website uses cookies and similar technologies sparingly:
- Strictly-necessary PIN-gate cookie: remembers that you have entered a valid access PIN so you can view the preview. This is essential for the site to function and does not require consent.
- Cookie-consent preference: stored locally in your browser (localStorage) to remember your choice. This stays on your device.
- Analytics (Google Analytics 4): helps us understand how visitors use our website, for example pages viewed, traffic sources, and approximate location and device type. These analytics cookies are set only if you select "Accept all" in our cookie banner; choosing "Necessary only" leaves them disabled. IP addresses are anonymised. Google acts as our data processor and data may be processed outside the UK under appropriate safeguards. You can withdraw consent at any time by clearing your cookies or stored preference. See Google's Privacy Policy.
Our cookie banner lets you limit cookies to strictly-necessary only. We ask for your consent before setting any analytics or other non-essential cookies, and analytics remains disabled until you accept.
11. Security
We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or misuse. These include access controls, use of reputable service providers (such as Microsoft) that maintain their own security standards, and limiting access to personal data to those who need it. No method of transmission or storage is completely secure, but we work to protect your data appropriately.
12. Children
Our services are intended for businesses and business professionals. They are not directed at children, and we do not knowingly collect personal data from anyone under 18.
13. Changes to this policy
We may update this policy from time to time to reflect changes in our services, technology, or legal requirements. When we do, we will revise the "Last updated" date below. Significant changes will be communicated where appropriate.
